The Appointment block allows users to make an electronic calendar appointment through a bot. It is connected to the Google Calendar and Microsoft Outlook 365 calendar services, in which the respondent can mark the date and time of the meeting.
- Open the Bots section and select the bot to which you would like to add an Appointment block.
- Click on the node for adding new blocks and select the block type Appointment.
- To the right of the bot scheme, the Settings sidebar will open.
- In the Connect Calendar field, select from the drop-down list the service to connect: Google Calendar or Microsoft Outlook 365.
- Enter your account details: Google or Microsoft Outlook 365.
- In the Settings block, mark the meeting duration (the Duration field) and specify your time zone (the Timezone field).
- In the Availability block, specify the days of the week that the bot can offer for the meeting (the Days field). When you select all days from Monday to Friday, the Days field displays the value Working Days. When you select all 7 days of the week, the value All Week is displayed in the Days field.
- In the From field of the Availability block, mark the beginning of the time period in which the bot can offer free intervals for meetings.
- In the To field of the Availability block, mark the end of the time period in which the bot can offer free intervals for meetings.
- After the bot is published, the list of time and dates that are offered to the respondent by the bot displays the available date and time, taking into account the Duration (meeting duration) parameter in the From / To time interval.
- After receiving information about the date and time of the event, the Google Calendar and Microsoft Outlook 365 services add it to the calendar with the following parameters: name (Appointment Request from Form.One {#ID of the Location dialog), date and time (data selected by the respondent), time zone (data from the Appointment block).
- To disable integration with Google Calendar or Microsoft Outlook 365 services, click on the ⋮ icon in the Calendar field and select the Disconnect function.
- After disabling the Google Calendar or Microsoft Outlook 365 services, the bot does not publish the messages of the Appointment block and immediately goes on to publish the messages of the next block.
- To delete an Appointment block, click on the ⋮ icon in the sidebar on the right and select the Delete block function.
Note. Authorization in Google Calendar and Microsoft Outlook 365 services is required for each block, even if it was previously performed.
Note. During the dialogue with the bot, the user can select the date and time from the list or enter it manually.
Note. During the preview of the bot, the system does not add events to the calendar and does not check the available time for booking. When previewing all the dates and times are free by default and are offered to the user to choose from.
